Who this applies to

This notice applies to merchant owners, administrators and staff who create or use a perkpass. merchant account, manage a location, configure loyalty programmes, issue stamps, redeem rewards or manage billing.

Information we collect

• Account details, such as name, email address, sign-in identifiers and password authentication status.
• Business details, such as merchant name, locations, staff roles, stamp types, loyalty programmes and reporting settings.
• Operational records, such as stamp events, reward entitlements, redemptions, reversals, audit history, device/session context and support messages.
• Billing records, such as subscription status, Stripe customer and subscription identifiers, invoice/payment status and billing-portal events. Stripe handles card details directly.
• Technical records, such as security logs, request metadata, error records and service diagnostics needed to protect and operate the service.

How we use merchant information

• To create and secure merchant accounts.
• To provide the loyalty service, including locations, programmes, terminal workflows, reward redemption and corrections.
• To maintain audit history for disputed stamps, rewards, redemptions and account changes.
• To manage subscriptions, invoices, failed-payment grace periods, cancellation and reactivation through Stripe.
• To provide support, investigate faults, prevent abuse and improve reliability.

Lawful basis

We use merchant account, service and billing data because it is necessary to provide the contracted service. We use security, audit and abuse-prevention records where necessary for legitimate interests in running a safe and reliable loyalty platform. We may retain limited records where required for legal, tax, accounting or dispute reasons.

Who we share information with

We share data with service providers that help us run perkpass., including authentication, cloud hosting, database, email delivery, monitoring and support providers. Stripe processes subscription checkout, payment method management, invoices and billing events. We do not sell merchant or customer personal data.

Retention and rights

We keep merchant account and billing records for as long as needed to provide the service, meet legal obligations, resolve disputes and preserve auditability. You can ask to access, correct, delete or restrict personal data, or object where processing is based on legitimate interests. Some audit and billing records may need to be retained even after an account closes.

This notice applies when you give your email address to a participating merchant to collect stamps, receive a reward, redeem a reward or create a customer account to view your perkpass. loyalty history.

Information we collect

• Your email address, including the normalised version used to match loyalty history.
• Optional customer account details, such as display name, sign-in identifiers and email verification status.
• Loyalty records for each merchant you use, including stamps awarded, programme progress, rewards unlocked, reward codes, redemptions, reversals and history.
• Transactional email records, such as stamp confirmations, reward emails, redemption confirmations and account-security emails.
• Technical and security records needed to protect accounts, reward codes and the service.

How we use customer information

• To let you collect stamps using only your email address.
• To send service emails about stamps, rewards, reward codes, redemptions, corrections, account security and support requests.
• To show your verified loyalty history in the customer portal.
• To stop someone redeeming a reward using only a guessed email address.
• To support merchants and customers when a stamp, reward or correction needs to be investigated.

Service emails

Your email address is needed for perkpass. to operate the loyalty service. We use it to identify your loyalty activity, send stamp confirmations, send reward codes, confirm redemptions, confirm corrections and send account or security messages. These emails are service communications connected to your use of perkpass.; they are not marketing emails.

Marketing emails

We do not currently send marketing emails to customers. Giving your email address to collect stamps, receive rewards or create a customer account does not give perkpass. or a merchant permission to send you marketing through perkpass. If we introduce customer marketing in future, we will ask for separate permission where required and give you a clear way to opt out.

Lawful basis

We process loyalty records and send service emails because this is necessary to provide the loyalty service requested at participating merchants and to support the legitimate interests of operating a secure rewards ledger. We do not use loyalty participation as marketing consent.

What merchants can see

A merchant can see loyalty activity connected to that merchant, such as stamps, rewards, redemptions and corrections. A merchant terminal must not show your wider perkpass. activity with other merchants.

Who we share information with

We share data with service providers that help us run perkpass., including authentication, cloud hosting, database, email delivery, monitoring and support providers. We share merchant-specific loyalty records with the relevant merchant so they can operate their loyalty programme. We do not sell customer personal data.

Retention and rights

We keep loyalty records while needed to show progress, redeem rewards, prevent fraud, support corrections and preserve audit history. You can ask to access, correct, delete or restrict personal data, or object where processing is based on legitimate interests. Some records may be retained in limited form where needed for security, dispute or legal reasons.
